Everything you need to know before you get started.

Getting started

Sendiflow is a report management platform built for NGOs, CSOs and development-sector organisations. It gives your team a structured, digital environment to write, route, review, approve and archive internal and field reports — replacing WhatsApp messages, scattered Word documents and email threads.

Sendiflow is designed for civil society organisations with a reporting hierarchy — where programme officers and field staff submit reports that go through supervisors, department heads and executive management before they are finalised. This includes:

  • Local and international NGOs
  • Civil society organisations (CSOs)
  • Implementing partners
  • USAID, World Bank, FCDO and other donor-funded programmes
  • Research and surveillance teams
  • Health programmes and community-based organisations

Go to sendiflow.com/signup.html and create your organisation account. You will set up your organisation profile, choose your reporting structure and configure your departments. The entire process takes less than 10 minutes. No credit card is required to start.

Yes. Every new organisation gets a full 30-day free trial with access to all platform features. No credit card is needed. At the end of the trial, you can subscribe to continue — or simply let it lapse with no charge.

No. As the Organisation Administrator, you add your team from within the platform. Each staff member receives an email invitation with a link to set up their account. There is no separate public registration for staff — access is invitation-only, which keeps your organisation's data secure.

How the platform works

Sendiflow supports two structures:

  • Departmental: Officers file reports for a specific department. The report routes to that department's head, then to the Executive Director for final approval.
  • Flat: Reports go directly to a single supervisor or administrator. Suitable for smaller organisations without a departmental hierarchy.

You choose your structure during setup and can adjust it later from your Organisation Admin settings.

Once an officer submits a report, it moves through your organisation's approval chain. Supervisors and department heads can approve it or return it for correction with comments. The officer revises and resubmits. When the Executive Director gives final approval, the report is archived in the organisation's permanent record and is available for compilation and export.

Officers provide the facts — what happened, who was involved, what the numbers were. Sendiflow's AI assistance helps structure and express that information in clear, professional language. It does not invent data, change figures or add facts that were not provided. All numbers in a report originate from the officer who filed it. The AI improves presentation; it does not create content.

Yes. The officer-facing interface is a Progressive Web App (PWA). Officers can capture report information with a poor or intermittent connection and sync their work when connectivity is restored. The platform is designed for field conditions.

Yes. Approved reports can be exported individually in Word (.docx) or PDF format. The platform also supports consolidation — bringing multiple approved reports together for periodic, departmental or donor reporting and exporting the combined output.

Sendiflow has three job levels:

  • Officer: Files reports. Can see their own submissions and their status.
  • Department Head: Reviews and approves reports filed for their department.
  • Executive Director (ED): Gives final approval and has access to the full organisational report library.

In addition, one or more users can be designated as Organisation Administrator — this controls platform settings, user management and billing. The ED and Organisation Admin can be the same person.

The ED and Organisation Admin have full visibility. REDI staff do not access your report content except for technical support when you have granted permission.

Yes. Sendiflow is built with NDPA 2023 compliance in mind. We maintain a Privacy Policy, a Data Processing Agreement template and a Record of Processing Activities. See our Privacy Policy for full details.
