Field officers are not lazy. They are frequently so involved with ensuring the activities are done right that they struggle with making time for reports, as critical as those are to the success of their work. Sendiflow simplifies the process of writing field reports in a way that increases efficiency significantly.

The problem

Field work is hard. Reporting it shouldn't be.

Across sectors, the same pattern repeats. Officers carry out important work in the field, then spend evenings — or weeks — trying to remember the details, format the writeup, and hand something to the supervisor that lives up to what actually happened.

01

Details get lost

By the time an officer sits down to write up, the names, numbers and observations have blurred. The report ends up generic.

02

Reports lack uniformity and structure

Every officer writes differently. Supervisors get a mix of essays, bullet points and WhatsApp messages — impossible to compare or roll up.

03

Inconsistencies slip through

Participant numbers that don't add up. Names mentioned without introduction. Dates that don't match. These reach the donor and damage trust.

How it works

One officer. Four steps. Same day.

Sendiflow doesn't ask the officer to write a report — it asks them the questions a good report would answer. Then it organises their answers into formal language. The officer keeps full control of every word.

STEP 01

Pick a sector

Choose from 21 default sectors or your organisation's configured ones. Each has its own tailored questions.

STEP 02

Answer guided questions

One question per screen, in plain language. Read-aloud built in. Skip what doesn't apply. No blank-page paralysis.

STEP 03

Review the report

Your answers, organised into the 13 sections any supervisor or donor expects. Inconsistencies flagged in red. Edit anything.

STEP 04

Sign & send

PIN-signature submits the report. Export to share with supervisors. Streak counter rewards same-day filing.

Built for three people

The officer. The supervisor. The funder reading the report.

Each role gets exactly what they need without seeing what they don't.

Field Officer

Files reports in minutes through a guided form. Read-aloud built in. Personal streak counter for same-day filing.

Supervisor

Reviews submitted reports in a clean, consistent format. Spots timeliness and quality at a glance. Team-wide view arrives with Stage 2.

M&E Officer

Sees indicators captured in each report — participant breakdowns, beneficiary counts, financial use. Cross-report aggregation in Stage 2.

Funder / Auditor

Receives reports in a standard format. PIN-signature ties each report to a named officer. Photo evidence where attached.

Sectors

21 sectors out of the box. Or build your own.

The Standard tier ships with the sectors most field organisations need. Configured deployments let you add, edit or replace any sector to match your specific programme.

Working outside the development sector? Sendiflow's framework is built for any team that needs to capture field activity, indicators and accountability. Inspections, audits, CSR community engagement, research fieldwork, electoral observation — the structure is the same; only the questions change. That's what Configured deployments are for.

Responsibility

Sendiflow is responsible for the form. You are responsible for the facts.

Sendiflow does not verify, check, or vouch for the accuracy of anything entered into a report. Names, dates, numbers, beneficiary counts, narrative claims — all are the officer's responsibility. Our role is to help officers structure their reports clearly and to improve grammar, language, and presentation. Every Sendiflow report belongs to the officer who filed it and the organisation under which it was filed. By submitting, the officer affirms the facts are true to the best of their knowledge.

Frequently asked

The questions we hear most.

Does Sendiflow work offline?+
Officers can fill in reports without internet. The AI report-formatting step needs a connection — but answers are held safely on the device until they're online again, then the report is generated and submitted.
Does the AI write reports for us?+
No. The officer enters every fact. Sendiflow's AI structures and rewrites those answers into formal English. It is prompted to never invent content, and blank fields are flagged as missing. The officer reviews and is responsible for the report before submitting.
Can our organisation use it on multiple devices?+
Yes. Each device runs its own copy of the app, signed in to one user profile. Reports are saved on the device that filed them. Stage 2 — which we're actively building — adds central syncing so supervisors see all team reports in one dashboard.
Can we change the sectors and questions?+
Standard ships with 21 default sectors and the Admin role lets you add, edit or remove anything. For more substantial customisation — your specific indicators, your report sections, your branding — Configured is the better fit.
How is the data secured?+
Reports are stored only on the officer's device. Answers are sent to a third-party AI service for formatting and are not retained there. PIN-signature provides personal accountability. Stage 2 will add encrypted central storage with role-based access.
We're not an NGO. Will it still work?+
Yes — but only with a Configured deployment. Sendiflow's framework works for any team doing field work that needs structured reporting: CSR teams, research firms, inspectors, election observers, agricultural extension, and more. The Standard tier's library leans toward social-impact work, so anything beyond that needs configuration.
